Collect enough information to respond
Start with the details your team actually needs: who is asking, how to reach them and what work they need. Keep the form proportionate to the request.
Send it to someone responsible
Decide who receives the inquiry and who follows up. A shared inbox or notification can help, but the team still needs a clear owner for the next step.
Keep a customer record
If you use customer-management software, an integration may be able to create a record automatically. Compatibility, provider fees and the fields to transfer need to be checked first.
Make the reply accurate
An automatic acknowledgment can confirm receipt and explain what comes next. It should reflect your actual availability and process. Do not promise a response time the team cannot meet.
Build around the workflow you need
WCA is developing reusable website services for inquiry handling and customer-system connections. Your proposal will identify what is available. Start by mapping your current process and deciding who receives and responds to each request.
